How to calculate hours worked with a lunch break
- Convert clock-in and clock-out times to minutes (or use 24-hour time).
- Subtract clock-in from clock-out to get time at work.
- Subtract the unpaid lunch break: lunch in minus lunch out.
- Subtract any other unpaid breaks.
- Convert minutes to hours: divide by 60 for decimal hours.
Example: in at 8:00, lunch 12:00–12:30, out at 16:30. Time at work is 8 h 30 min; minus a 30-minute lunch gives 8 hours worked. The calculator handles shifts that cross midnight as well.
Hours and minutes vs decimal hours
| Minutes | Decimal hours |
|---|---|
| 6 | 0.10 |
| 12 | 0.20 |
| 15 | 0.25 |
| 20 | 0.33 |
| 30 | 0.50 |
| 40 | 0.67 |
| 45 | 0.75 |
| 50 | 0.83 |
Payroll uses decimal hours because pay is calculated by multiplying hours by an hourly rate. 7 hours 45 minutes is 7.75 hours, not 7.45. The calculator shows both so you can check your payslip.
Are lunch breaks paid?
Rules differ by country and state. In the United States, federal law does not require meal breaks, but many states do, and bona fide meal periods — typically 30 minutes or more, during which the employee is completely relieved of duties — are generally not counted as working time. Short rest breaks, commonly 5 to 20 minutes, are generally counted as paid working time under federal rules. If you have to answer phones or stay at your desk during lunch, it may count as work time. Check your employment contract and the labour rules where you work.
Overtime
Under the US Fair Labor Standards Act, non-exempt employees are generally entitled to overtime pay of at least 1.5 times their regular rate for hours worked over 40 in a workweek. Some states also require daily overtime — for example, California requires overtime for hours over 8 in a workday in many situations. The calculator applies a weekly threshold you set; for daily overtime rules, check your state’s requirements and your employer’s policy. Outside the US, overtime rules and thresholds differ.
Rounding time
Some employers round clock times to the nearest 5, 6 or 15 minutes. Under US federal rules, rounding is allowed if it is neutral over time — it must not consistently favour the employer. The rounding option applies to daily totals so you can compare with your employer’s method; for exact pay, use exact minutes.
Worked example: a week with lunches
Monday 8:00–16:30 with a 30-minute lunch is 8.00 hours. Tuesday 8:00–17:15 with a 45-minute lunch is 8.50. Wednesday 7:45–16:30 with 30 minutes is 8.25. Thursday 8:00–17:30 with 30 minutes is 9.00. Friday 8:00–15:30 with 30 minutes is 7.00. The week totals 40.75 hours: 40 regular and 0.75 overtime. At $22.50 an hour with time-and-a-half, gross pay is 40 × 22.50 + 0.75 × 33.75 = $925.31.
Keeping accurate records
- Record times as you go rather than from memory at the end of the week.
- Note the reason for any unusual times, such as early starts for deliveries.
- Keep your own copy of timesheets you submit.
- Compare your totals with your payslip each pay period.
- Employers in the US must keep records of hours worked for non-exempt employees; many use time clocks or apps, but paper timesheets are still common in small businesses.
Split shifts and multiple breaks
Some jobs have two unpaid breaks, or a split shift with a long gap in the middle — common in restaurants, schools and transport. Enter the main lunch break in the lunch columns and add any other unpaid break minutes in the “Other break” column. For a true split shift (for example 7:00–11:00 and 16:00–20:00), treat the gap as the lunch: lunch out 11:00, lunch in 16:00. Paid rest breaks should not be entered, because they count as working time.
For employers and managers
The printable timesheet has employee and supervisor signature lines. For teams, the paid pack includes a weekly Excel timesheet with lunch columns and overtime formulas, a biweekly version and a team summary sheet, so you can collect hours consistently and check totals quickly before payroll.
